1-Associate Dean of the Main Library

The American University in Cairo Libraries and Learning Technologies (LLT) seeks a dynamic person with proven leadership and management qualities to motivate and maintain the Main Library’s drive to excellence. The AUC Library holds the largest English-language collection in Egypt and serves the AUC and local scholarly community.

Responsibilities

Working closely with and reporting to the Dean of Libraries and Learning Technologies, the Associate Dean of the Main Library will play a key role in implementing the strategic vision for LLT, providing leadership for assessment and change as the Library adapts to the University’s enhanced teaching and research mission. The Associate Dean of the Main Library is responsible for budget and resource planning, policy and program development, operations and personnel, and overall innovation and excellence in the Main Library. The Associate Dean will foster user-centered services, integrated educational and curricular programs, responsive collections and information resources, assessment, and marketing of services.

Requirements

The candidate must have an ALA-accredited MLS, or international equivalent; at least ten years’ successful leadership in progressively responsible administrative positions preferably in academic libraries; experience in resource allocation and budget preparation with an overall budget of at least xx, and an operating budget of at least xx, and demonstrated success in human resource management, including the ability to engage staff in improvement and change. A second Masters degree, working knowledge of other languages, and experience in a multicultural environment are highly desirable but not mandatory.

Job Description

Job Title:                  Associate Dean of the Main Library
This is a faculty appointment at the rank of instructor.

Reports To:              Dean of Libraries and Learning Technologies (LLT)

Supervises:              Director of Public Services, Director for Collections, Director of Automation Systems, Head of LLT Building Administration. One administrative assistant reports to the Associate Dean, and the Main Library administrative office has a Finance Manager who is proficient in the use of SAP, the AUC’s ERP software.

Work Contacts:        Works closely with the Dean of Libraries and Learning Technologies. Works cooperatively with the Associate Dean of the Rare Books and Special Collections Library and the Associate Dean of the Center of Learning and Teaching. Is an active member of the Dean's Council; works closely with Library faculty and staff, professorial faculty, and the AUC administration; and with external organizations as appropriate.

The Associate Dean of the Main Library is responsible for budget and resource planning, policy and program development, operations and personnel, and overall innovation and excellence in the Main Library. The Associate Dean will foster user-centered services, integrated educational and curricular programs, responsive collections and information resources, assessment, and marketing of services.

Dimensions:       
The Main Library has 15 full time faculty, 44 full time support staff, and a current annual overall budget of $6,507,377.26 (capital + operational). Its collection of 400,000+ volumes and over 100 databases serves about 8,000 registered Library users per year.

Responsibilities:

Specific duties include:

  1. Provides leadership in assessment, planning, administration, and resource allocation.
  2. Keeps abreast of developments in the administration of academic research collections.
  3. Maintains ongoing engagement with faculty and staff to define needs, set priorities, develop policies, and establish goals, objectives and budgets.
  4. Coordinates preparation of annual budget as well as management of funds originating in services, grants, endowments, and gifts; assists in development activities including proposal writing, and identification of potential resources.
  5. Identifies and prioritizes areas for which external support is needed.
  6. Coordinates the human resources program, including recruitment, orientation, training, evaluation, promotion, and succession planning.
  7. Manages services that support the university’s curriculum and research needs.
  8. Fosters an atmosphere of collegiality and innovation.
  9. Builds upon the Libraries’ leadership role within the campus community.
  10. Serves as a member of the Libraries' and Learning Technologies management team.
  11. Organizes and supervises the work of the Administrative Office staff including the production of the Annual Report and statistics.
  12. Assumes other responsibilities as requested by the Dean of Libraries and Learning Technologies.

Qualifications:
Required

  1. Master’s degree from an ALA-accredited program or international equivalent.
  2. Demonstrated record of achievement in librarianship and university service.
  3. Seven to ten years’ successful leadership in progressively responsible administrative positions preferably in academic libraries.
  4. Experience in resource allocation and budget preparation with a current overall budget of $6,507,377.26 (capital + operational).
  5. Demonstrated success in human resource management, including the ability to engage staff in improvement and change.
  6. Excellent analytical, planning, and interpersonal skills.
  7. Knowledge of technology applications and current trends in academic administration.
  8. Excellent oral and written English communication skills

Preferred

  1. Ability to work with and supervise staff and faculty from culturally and linguistically diverse backgrounds.
  2. Additional subject master’s degree.
  3. Working knowledge of Arabic and/or other languages.

Knowledge of the cataloging and related modules of Innovative Millennium is required. Work Contacts:        Internal: Staff members of the Cataloging Department, Main Library, Law Library, and Rare Books and Special Collections Library faculty and staff. External: Library patrons and representatives of national and international organizations.

Specifications:      Responsible for the overall management of and quality control in the Cataloging / Metadata Services Department. Sets priorities, allocates resources, and develops plans, policies and practices within the department; administers operations for original and copy cataloging of print, multi-media resources, electronic monographs, serials, and databases, using MARC or metadata formats; administers end-processing functions; provides leadership for a multi-cultural, knowledgeable staff in an environment of anticipated change; creates a positive work environment.

Dimensions:   

  • Approximately 12,000 new books, videos, DVD, e-resources, and periodicals in all languages cataloged per year for the Main, Law and Rare Books and Special Collections Libraries.
  • Approximately 7,300 retrospective conversion project titles cataloged.
  • Approximately 65 Arabic names submitted to the Library of Congress Name Authority Cooperative and Islamic Subjects submitted to SACO.
  • All material types processed by Cataloging Department: 30,000 per year.
  • Supervises 10 full time support staff (three of whom have library science degrees from Egyptian universities) and 4 part time staff.

Responsibilities:

  1. Reporting directly to Director for Collections, the Head of Cataloging / Metadata Services is responsible for bibliographic quality control and database problem resolution to ensure bibliographic and authority records meet local and national standards.
  2. Hires, supervises, evaluates, and manages the training of staff in this department. Promotes staff development.
  3. Works closely with other library faculty and staff within the Division and in the Rare Books Library to establish and document relevant policies, procedures and efficient workflows.
  4. Develops programs such as authority control and inventory and evaluates workflows with the aim of increasing productivity in this department.
  5. Serves as the contact for bibliographic control of all items in the Libraries; administers database maintenance and resolution of problems and errors.
  6. Maintains a thorough knowledge of Innovative Millennium Library System. Manages implementation of new system modules and capabilities.
  7. Prepares annual budget estimates for the running of the department, an Annual Departmental Report with a statistical summary of department performance, and other reports as requested.
  8. Works with metadata services and digital initiatives to oversee metadata quality control of digital collections and establish relevant policies, procedures and workflows.
  9. Works in conjunction with the Director for Collections to plan and assess procedures, initiatives, and policies for operations, and maintains excellent communication and cooperation across departments and divisions.
  10. Networks, collaborates and actively participates in local, regional, national or international organizations regarding issues of librarianship, cataloging, database maintenance and authority control services.
  11. Participates in Library-wide and University-wide teams and committees as appropriate.
  12. Other duties as assigned.

Job Specifications:
Required:

  • ALA accredited MLS.
  • Minimum 3-5 years of progressively responsible experience in design and maintenance of cataloging workflow.
  • Familiarity with the cataloging and associated modules of the Innovative Millennium integrated library system.
  • Knowledge of AACRII (or latest edition), MARC 21 formats, LC classification, LCSH bibliographic and authority formats; working knowledge of bibliographic utilities and familiarity with authority and database enrichment vendor.
  • Professional understanding and knowledge of non-MARC metadata schemas, standards, best practices, and their applications such as Dublin Core and EAD.
  • Ability to work harmoniously with and supervise professional staff from culturally and linguistically diverse backgrounds.
  • Excellent English oral and written communication skills.
  • Proficiency in Word, Excel, and database searching.

Preferred

  • Additional Master’s degree.
  • Reading knowledge of one or more foreign languages.

4-Digital Collections Archivist, Rare Books and Special Collections Library

Job Description

The Rare Books and Special Collections Library of the American University in Cairo seeks a Digital Collections Archivist to play a leadership role in the development of digital archives initiatives. Reporting to the University Archivist, the DCA manages AUCÕs Digital Archive and Research Repository (DSpace-based) including supervising all digital holdings (photographs, video, audio files), setting standards for digital preservation and metadata, providing training for staff, collaborating on development, policies, and storage space matters for the repository with other university units, managing the ingest of electronic theses, dissertations (ETDs) and faculty publications and coordinating policies and procedures with academic administration, computing, student affairs and other university units. The position also oversees the encoding of archival finding aids (XML, EAD), creates MARC records using Innovative Interfaces Millennium Metadata Builder, manages Archive-It subscription service, the RBSCLÕs website, news blog, online subject guides, and social media sites. There will also be opportunities to collaborate on fundraising efforts, mounting exhibitions, and other RBSCL-wide tasks.

Requirements

An ALA-accredited MLS, or an MA degree in history or allied field with a degree from archival studies program; experience in an archival repository or special collections library setting; excellent oral and written English; supervisory experience; excellent organizational skills; experience in a multicultural environment.

Span of Supervision:    Under the direction of the University Archivist assists in the supervision of specialized digital projects both in the Libraries and in conjunction with other AUC departments and programs. May oversee and advise special hires for special projects as well as assigned volunteers, interns and student assistants.      Works directly with the Associate Dean of the Main Library; collaborates with Director of Public Services, Director of Automated Systems, Director of Center of Excellence for the Middle East & Arab Cultures; works cooperatively and collaboratively with the Associate Dean of Rare Books and Special Collections Library; is an active member of the Dean's Council; works closely with university faculty and administrators; Library faculty and staff; vendors.

Purpose:    Takes a leadership role in the development of digital archives initiatives including building collections of born-digital and digitized materials of long-term research or historical value and providing electronic access to digital collections. Assists in the collecting, processing and preservation of the RBSC Library’s special archival collections as well as those related to special projects and initiatives undertaken by other AUC departments.

Principal
Accountabilities:

  1. Under the direction of the University Archivist manages collection, preservation, metadata, access and some technical aspects of the AUC Digital Archive and Research Repository; Collaborates with and provides training for other RBSCL staff; Collaborates with other university units like University Academic Computing.
  2. Manages workflow, training, and participates in policy and procedures development for the inclusion of electronic theses and dissertations (ETDs) into the AUC Digital Archive and Research Repository; collaborates with staff from University Academic Computing, Graduate Student Services, Registrar’s Office, and other university departments in these efforts.
  3. Manages collection, access and metadata aspects of the Archive-It Web Archive.
  4. Coordinates development of RBSCL online subject and/or collection guide lines.
  5. Coordinates use of the RBSCL News blog and other social media sites
  6. Encodes finding aids in EAD and creates MARC records for archival collections, using Millennium Metadata Builder platform; provides training to RBSCL staff in preparing XML indexes in EAD format and use of the Metadata Builder platform; collaborates with Library cataloging staff as needed in these efforts.
  7. Manages selected digitizing projects, in collaboration with RBSCL Reprographics Coordinator and other RBSCL staff as well as outside vendors and partners
  8. Assists in the planning, decision-making, policy-making, and application of legal issues related to digital archival collections.
  9. Advises academic departments and administrative offices on records retention policy and transfer of materials to the University Archivist.
  10. Processes, advises on preservation matters for, and describes (via EAD finding aids and MARC records) archival collections
  11. Provides reference and research services to library and archives patrons and the University
  12. Participate in matters relating to collections acquisition.
  13. Works with other RBSC Library and LLT faculty and staff as well as other AUC departments in the ongoing development of the LLT as a Center of Excellence for the Middle East and Arab Cultures, especially materials in digital format or destined to be on the Web.
  14. Participates in exhibition and event planning.
  15. Participates in fundraising efforts, such as identifying potential grant agencies and donors.
  16. Other duties as required

Special Job-Related Requirements:
Excellent knowledge of accepted archival practices, particularly digital project management. Ability to make presentations to faculty and administration about digital issues and initiatives. A self-starter with an excellent sense of organization is preferred.
